Track your Wedding Expenses

When it comes to planning a wedding, I always advise people to start with a budget. The budget is the framework that tells you how much wedding you can accurately afford. I’m sure lots of folks sit down and write up a planned budget, but I often wonder how many couples actually track their spending during the wedding planning process. It’s easy to write some loose figures down on a piece of paper, it’s another thing to accurately track your wedding costs.

Fortunately, there is no shortage of tools to help you track how much you’re actually spending.

Without a reliable system for tracking your expenses, your budget is just a guess about what your spending will be if all goes according to plan. News flash!… it never goes exactly according to plan. It is far too easy to round numbers, forget to include taxes, or remember where exactly your money went. Whether you write things down on paper, a worksheet, or use accounting software, you must keep track of every single cost related to your wedding, no matter how small. You’d be astonished how the little things add up when nobody’s looking, and then you’re left wondering how you blew your budget by thousands of pesos. I highly endorse a free money management service like mint.com. With this service, you link bank accounts, credit cards, assets and liabilities to your account, and mint tracks every transaction that takes place. While this service will track all of your trades, you can set specific budgets or goals for things like—you guessed it—weddings! Then as you go down the list of transactions from the week, just designate each one that was a wedding expense. Mint does the heavy lifting and make it easy to track how much you’ve spent.

Having correct data will also allow you to make adjustments along the way. Let’s say you’ve been doing a pretty good job of sticking to your budget, but halfway through the preparation process you’ve actually spent several hundred pesos more than you had planned to. If you have no way of tracking your expenses you might not know that you’re over budget. But with accurate records, you can go through your data to see where you overspent. You’ll also know the amount of savings you need to find in other areas in order to stay on target.

Bonus, using a service like mint will not just help your wedding plans, but your funds in general. It’s a great way to see where your money goes, and it presents the info in easy to digest charts and graphs. You can set savings goals, budgets toward specific items, and even track your net worth. If you and your spouse both track your finances, you’ll have a much better indulgent of your spending and savings habits, and you can use the data to frame a discussion about how you will handle moneys once you’re married.

Hopefully you see the importance and advantage of tracking your wedding expenses. There’s nothing worse than spending money you don’t have and realizing it after it’s too late. But with a good budget and accurate spending records, you won’t have any worries on your big day.

Become a Top Wedding Planner – Plan a Western Themed Wedding

Are you helping a bride who wants a western or cowboy themed wedding reception? This theme is perfect for a casual wedding that is being held in a chapel, church, country inn, or home, with a reception outside in a yard, garden, park, farmhouse, or ranch.

Here are some ideas for carrying out the theme:

Decor

  • Use patchwork quilts, Navajo blankets, or red and white gingham as tablecloths.
  • Use bandannas as napkins.
  • Centerpieces can be arrangements of flowers in baskets or mason jars. Vases of flowers can be put inside cowboy boots.
  • Flowers should look like they were hand-picked from a garden. Wildflowers, daisies, sunflowers, zinnias, roses, and lilacs are good choices.
  • Use bales of hay for decoration around the room or for seating.
  • Keep drinks cold in buckets and washtubs filled with ice.
  • Light the reception area with kerosene lamps or, for safety reasons, battery-operated lamps that resemble vintage kerosene lamps.
  • Hang a metal triangle and ring it when it’s time to cut the cake.

Cake and Desserts

  • Top the cake with a cowgirl and cowboy. Or work with the cake designer to create something unique such as the look of a hand-tooled leather belt wrapped around each tier or get cakes shaped like cowboy hats or boots.
  • Dessert can be fruit pies or cobbler with homemade (or homemade-like) ice cream.

Food

  • Buffalo wings with ranch dressing
  • Barbecue ribs and chicken
  • Grilled steak
  • Baked potatoes
  • Corn on the cob

Favors

  • Small blooming cactus plants.
  • Bandannas personalized with your name and wedding date.
  • Program fans that look like Western “Most Wanted” posters.
  • Cowboy hats

Music

  • Get a country/western band or have the DJ play country/western music.

Wedding Attire

  • If the bride wants suggestions for wedding attire, suggest vintage or vintage style wedding dresses in antique white with lace. She can even wear white cowboy boots. Or, if the bride loves denim, there are stores online that sell blue denim wedding dresses.
  • Bridesmaids can wear vintage-style dresses that are similar to the bride, square dance dresses, or dress they can dress like saloon girls from the Old West.
  • The groom and groomsmen can wear black suits, vests, white shirts with bolo ties (decorative strings with a clasps of silver), and cowboy hats.
  • Guests can be asked to dress casually in Western wear.

Take these ideas and personalize them for your Western bride and groom.

6 Ways Wedding Planners Can Trim Wedding Decor Costs

As a wedding planner, you will need to stay on budget and help your bride get the most for her money if you are helping with her decor.

Whether it’s for 20 guests or 200, here are 6 tips that you can use to save money when designing a wedding:

1) Let lighting be decor

Proper lighting can change the look and feel of any space. Talk to a lighting designer about lighting tabletops and centerpieces to add glow to a room or using different colors to create mood and enhance the wedding theme. You can also rent chandeliers to add elegance to a plain indoor or outdoor space.

2) Use large, dramatic, floral arrangements only where they will be most visible

Splurge on arrangements for the entrance, stage, bar, and food stations which are the places where guests will notice them the most. Smaller arrangements can be used elsewhere.

3) Save by using simple satin as the base linen

Splurge on overlays that add interest and glamour such as those with textured weaves, embroidered flowers, or metallic sequins.

4) Mix chair styles, chair jackets and pads

This is a way to give the room an expensive “designer” look at a relatively low price.

5) Incorporate interior design elements

Candles, lamps, mirrored tabletops, or props that carry out a theme can be interesting, eco-friendly, and less expensive than flowers. And, don’t be afraid to mix good faux flowers with real ones to save money while making an arrangement look full and lush.

6) Compare the cost of buying versus renting

Thrift stores, consignment shops and flea markets often have high-end items you can use that are less expensive then the cost of renting similar things so it pays to visit them.
